Here at Settle we are looking for a Sales and Managing Agent Assistant for a 12 month fixed term contract.
You will be passionate about customer service joining an excitingly progressive organisation. We are looking for someone who will deliver a high-quality customer focused service to all residents who live on an estate with a managing agent. As first point of contact across various communication channels, you will strive to resolve customer queries effectively, where possible at first contact. Your key responsibility will involve providing administrative support to the Home Ownership and Sales & Marketing teams in delivering excellent front-line services to customers. Collaboration with operational teams will be essential in order to deliver positive solutions. At settle, we embody and champion a collaborative and flexible approach to resolving challenges. Having some knowledge and experience with managing agents will be an advantage however having a customer focused approach and the right attitude with good administration skills is most important.

Making it happen!
You will:
- Assist the home ownership team by delivering a comprehensive administration and support service in regards to queries raised from those living on managed estates.
- Be the initial point of contact across various communication channels, with a focus on resolving customer queries during the first interaction.
- Deal effectively with all administration and documentation relating to sales, resales, storing and retaining legal documentation in line with GDPR.
- Providing administrative support to the sales team as needed (such as raising purchase orders, completing CORE returns and setting up new rent accounts for new home owners).
- Ensure that all databases are kept up to date in a timely manner to ensure reporting is accurate
- Build relationships with managing agents ensuring collaborative working and regular communication with these stakeholders.
- Collaborating closely with the development team to ensure accurate records of managing agent details.
- Assisting the finance team in verifying invoices from managing agents, conducting estate visits and audits to ensure compliance with service level agreements.
- Addressing customer and stakeholder enquiries through various channels, such as incoming and outgoing post, email, website and telephone calls.
- Maintaining robust filing systems and ensuring documentation is organised and easy to access.
You will also:
Process high volumes of invoices from suppliers and deal with queries around administration and payment.
You will have a proactive and curious approach to ensuring a high standard of service delivery with our customers.
We are looking for someone who has...
A basic must!
- Experience of providing an excellent customer service and ability to work with minimum supervision within a team environment.
- Good communication and interpersonal skills including customer care and telephone skills.
- Ability to carry out detailed administration work to a high standard including having an attention to detail.
- To be computer literate and have experience of using Microsoft packages including Word and Excel and preferably a CRM and document management system.
- Ability to work flexibly and collaboratively with a wide range of internal colleagues to deliver the best business solutions.
- Ability to work as an integral member of a busy team and support colleagues in a busy operational environment.
- Ability to interact with external organisations and proactively follow up to obtain responses to internal and external customer queries.
Able to:
- Experience of liaising effectively with different teams across a business to deliver a high-class service with an ease of doing business for our customers.
- A proactive and engaging approach to work with operational teams to build service charge and leasehold management expertise and capacity within the business.
- Communicate with a wide range of people verbally and in writing with the ability to tailor your approach to different audiences.
- Manage your time effectively and organise your workload.
- Uphold and live settle’s values with a robust commitment to diversity.
- Be proactive about your own learning and keep up to date with changes in legislation and regulation.
- Be a professional in the housing sector by aiming towards and achieving professional development through the chartered institute of housing
